📊 Speculative Ordering
When to cut each PO, worked back from how long that vendor actually takes.
▾ Close
▸ Open
Lead time is measured from your own shipments — the vendor’s median PO → Gate In plus the ocean leg — not a carrier’s promise. The safety cushion below defaults to 2.5 months, which roughly covers the gap between a vendor’s median and their worst run.
Booked-ahead POs: when a six-month book is released at once, PO → Gate In stops measuring the vendor and starts measuring our own booking policy — the paperwork is simply early by design. Those containers are marked booked ahead, left out of the lead-time averages, and judged instead on whether they gated in on the date we asked for.
Container quantities: taken from what we have actually ordered — the usual quantity for that item or its collection. These are special runs and the mill fills to capacity, so an acceptable range is shown rather than a single figure. Collections whose past POs vary a lot are flagged.
Order early: every order date is pulled forward by the head start set below, and anything that would be built during a factory shutdown is moved ahead of it rather than allowed to slip.
Factory shutdowns: Chinese New Year closes most plants for roughly a month (10 days before, 30 after), and PT Layo shuts all of April for Lebaran. Orders that would be built during a closure are moved ahead of it, and each vendor’s last safe order date is shown below.
Excluded: JC Group and the laminate collections — that vendor holds goods on purpose, so their PO → Gate In is a warehousing arrangement, not a lead time. Their ocean leg is still used.

Schedule deliveries
How long does it really take?
Every purchase order we place is timed from the day it’s cut to the day it lands. These are our own shipments — not the carrier’s promises.
The voyage, end to end
Each bar is one supplier’s typical order, drawn to scale. Gold is time at the factory; navy is time on the water.
Prospects
Accounts we are working on that do not have an account number yet. Everything you record here — calls, notes, job sites — carries over the day they open.

- Watch the Internet strength bar at the top of the dashboard. In the red, expect saves to be slow or to fail.
- Close other apps that are streaming or syncing — those compete for the same signal.
- On a tablet, turning Wi-Fi off in a weak Wi-Fi area forces it onto cellular, which is often stronger.
- Let a page finish loading before tapping again. Repeat taps queue up more requests on an already slow link.
- If a save fails, the information is still in the form — move somewhere with a better signal and press save again rather than retyping.

Import Data
Load Customer Master and Daily Sales files from Compass/Eagle exports.
Customer Master import
Columns: account_number, customer_name, address, phone, customer_type, customer_since, primary_contact_name, primary_contact_email, terms, branch, rep_code. Also auto-detects and correctly handles Compass's actual "Customer Master" export, which comes out in the Account Information format instead, and the richer "Customer Summary" export (Customer Salesperson Number, Customer Number, Job, Customer Name, Net Sales MTD/YTD, Past Due Balance, etc.) — any of these work here.
To get real day-based Past Due aging in Analytics (instead of the size-based fallback), include these optional columns from an AR Aging export: Current, 1-30 Days, 31-60 Days, 61-90 Days, 90+ Days. Without them, Analytics falls back to grouping past due by dollar amount instead of age.
Drop your Compass export here first. The tool strips any stray symbols from numbers, fixes address overflows, and splits out rows that need your attention (missing rep, house accounts) into a separate Review file you can correct and re-attach below.
After fixing the Review file (adding missing rep codes, etc.), attach it here. The corrected rows are merged back in — numbers are cleaned and the combined file is ready to import.
Open Orders import
Columns (from Eagle/Compass export): Order Doc #, Store, Customer Number, Customer Name, Job, City, Customer PO #, Reference, Order Date, Item Number, Item Description, Order QTY, Backorder QTY, Actual Sell Price, EXT TOTAL, Delivery Date, SP Name, Fineline Code, Fineline Name, Salesperson Number, Clerk
Drop your Compass open orders export here. Strips stray symbols from numbers, flags rows with unknown salesperson codes or missing data into a separate Review file you can fix and re-attach below. Account + Job routing is applied automatically.
After fixing the Review file (adding missing salesperson codes, correcting customer numbers, etc.), attach it here. Corrected rows are merged back into a combined file ready to import.
Container Reports import
Also accepts the Master Container export format (PO DATE, PO Detail, Reference #, Ship Via, Date Expected, QTY ON ORDER, Item Number, Item Description, Fineline Name, Port, WEB). "Ship Via" is read carefully: a real container number goes to Container #, "DELIVERED MM-DD-YY" is read as already-arrived and sets the status, and anything else (booking/BL numbers) is kept as a tracking reference without being mislabeled as a container number. Optional — add a column called "Ship Date" or "Gate In" (either header works) to fill in when the container actually left origin port; leave it off and that field just stays blank until you add it. Rows with nothing to track yet import with those columns blank. Dates as MM/DD/YYYY or YYYY-MM-DD. Re-importing the same Container Number + PO Number + Item Number updates that row instead of duplicating it, so adding a Ship Date/Gate In column to your existing spreadsheet and re-uploading it will fill in that field for every matching row at once. Choosing a file shows a summary — container/carrier counts, anything unusual — before anything is actually written.
Product Trending Data
The Compass export with a column per month of net sales dollars, by customer and item (Customer Number, Item Number, Fineline Name, Job, then 2026-07 Net Sales and so on). Feeds the Product Trends page. Re-importing the same months refreshes them rather than doubling up.
Item Sales & Inventory
The Compass export with a column per month of net sales units, plus Quantity Available. Feeds the ordering plan in Admin → Speculative Ordering.
